GAIL’s Bakery was established in the 1990s when a group of the best bakers in London were brought together to bake for the city’s top chefs and restaurants. Since then, GAIL’s Bakery has grown rapidly, with over 137 bakeries as of 2024 and now exclusively specialises in handmade, traditional artisan baking, with handmade bread, pastries and cakes served in the bakeries every day, up and down the country. In 2023 the company’s first Head Office was built in Camden, North London. A brand-new building, their HQ houses nine meeting rooms, all of which needed high-quality technology solutions to align communications across all regions of the business, for a seamless meeting experience.
The BenQ RP7503, ST6502S screens and VS20 InstaShow® were presented to GAIL’s by Protech Solutions, a BenQ reseller since 2016, and selected as the most suitable products needed to drive a collaborative and secure hybrid working environment. Six RP7503 Interactive Displays, one ST6502S non-interactive screen, and three InstaShow® VS20 devices were installed in the meeting rooms at GAIL’s Bakery HQ in a bid to coordinate communications across teams all over the UK.
As a result of the BenQ technology implemented into the meeting room spaces, GAIL’s Bakery’s head office has been transformed. The combination of RP7503, ST6502S, and VS20 have enabled the HQ team to implement a hybrid working digital strategy, allowing staff to effectively communicate across regions and collaborate on business strategies in an agile, secure, and timely manner.

Building a purpose-built HQ to facilitate exponential growth, GAIL’s Bakery needed effective meeting room solutions to facilitate hybrid meetings both locally and to bring together employees located in other regions across the UK.
In an era where seamless communication and collaboration are vital for business success, GAIL’s Bakery knew they had to align the two to enhance internal communications and innovation within the company.
After moving their HQ to a building in Central London with nine meeting spaces and transitioning to a hybrid working model, GAIL’s Bakery knew that their office and meeting room technology had to significantly change.
To allow for a more collaborative, hybrid digital strategy throughout the company, GAIL’s Bakery sought the expertise of BenQ and Protech Solutions to help create a bespoke collaborative meeting room environment.
With one main training room at the new HQ, that could be split into three smaller rooms, GAIL’s needed to ensure that all three screens could be used individually or together at once for larger internal meetings.
This need for flexibility led GAIL’s to implement the BenQ RP7503 interactive screens that could be easily used for presentations for both smaller and larger group meetings. Each of the RP03 series boards in the main meeting room has individual built in speakers along with Logitech Meet Up cameras that can be used seamlessly together, enabling GAIL’s HQ to deliver presentations simply and effectively to over 100 people at HQ. The RP03 series boards and other BenQ technologies are easily adaptable to a business’s pre-existing ecosystem, as software such as Teams and Google Workspace can be easily integrated on the RP03 series.
The team at GAIL’s found that employees were absorbing information more easily with the aid of interactive screens, which allowed presentations and meetings to become more collaborative and creative, helping the team to innovate their internal strategies and planning with the help of EZWrite 6 whiteboarding software. The intuitive UI on the RP03 series boards also allowed team members to easily alternate between the Bakery’s sales portal and Microsoft Teams calls in the small huddle meeting spaces, facilitating seamless meeting room experiences for all participants, those joining online and those physically in the room.
A key issue that had previously arisen in GAIL’s Bakery’s last meeting space was employees unplugging and plugging in new devices and causing damage to HDMI and USB-C ports.
The InstaShow® VS20 devices have wireless casting features and a simple plug and play interface that effectively solved this issue. The casting enables team members to instantly share and display media with Microsoft Teams meeting participants without the need for physically connecting multiple devices to the interactive boards. This feature also allowed for continued collaboration between the non-interactive ST6502S screens.
As a result, GAIL’s HQ has begun using the VS20 devices frequently for wireless presentation, preventing physical damage to devices being connected and unconnected frequently. And, more importantly, this feature has saved time and allowed meetings to start quickly and efficiently rather than focusing on ensuring all the meeting tech is connected correctly, enabling team members to immediately start focusing on team strategy and planning.
The seamless connection between BenQ’s VS20 and Logitech’s camera provides a flawless meeting room experience for all participants. The combination of this technology allows users to share their screen wirelessly with Teams participants, by using the built in speakers on the RP03 Interactive Displays and the Logitech camera.
GAIL’s Bakery HQ found that BenQ’s products not only enhanced meeting room experiences but also enhanced their security. The VS20 device features built-in advanced encryption to ensure data security, and the RP03 offers secure, single sign-in via NFC technology.
